Why Check-Ins Matter More Than You Think

Strong dental teams are not built through one annual review or a single team meeting.

They are built through regular conversations.

Yet many dentists avoid one-on-one check-ins with their team members. Some feel they do not have enough time. Others worry that the conversation will feel awkward, turn negative, or lead to a request for a raise.

Those concerns are common, but they can also prevent leaders from having the conversations their teams need most.

A Check-In Is Not a Performance Review

One of the biggest reasons check-ins feel uncomfortable is that many leaders treat them like formal evaluations.

That creates pressure for everyone involved.

A leadership check-in should feel different. Its purpose is not to judge, score, or surprise a team member. Its purpose is to connect.

You are creating time to ask:

  • What is going well?
  • What has been challenging?
  • Is anything getting in the way?
  • How can I support you?
  • What would you like to work on next?

These questions help you understand what the team member is experiencing. They also give the person an opportunity to speak openly before frustration builds.

What You Miss When You Avoid the Conversation

When check-ins do not happen, leaders are often left guessing.

You may assume a team member is doing well because they have not complained. You may think a problem has been resolved because no one has mentioned it again. You may believe the team understands your expectations because they heard them during a meeting.

But silence does not always mean clarity.

Regular check-ins help you uncover concerns early. They give you a clearer picture of how the team is functioning and where someone may need additional direction, encouragement, or support.

They also give you an opportunity to recognize progress.

That recognition matters. Team members want to know that their effort is seen. A thoughtful conversation can strengthen connection and help someone feel more invested in the practice.

Start With Listening

You do not need a complicated system to begin.

Start by choosing one team member and scheduling a short conversation. Twenty to thirty minutes can be enough.

Open with a simple question:

“How have things been going since we last talked?”

Then listen.

Resist the urge to solve every problem immediately. Ask follow-up questions. Be curious. Allow the team member to explain what they are experiencing.

Your role is not to have every answer. Your role is to create a conversation where the person feels heard and supported.

Consistency Builds Trust

One check-in can be helpful. Consistent check-ins are where the deeper value develops.

When team members know they will have regular time with you, they do not have to wait until a concern becomes urgent. They know there will be an opportunity to talk, ask questions, and receive support.

Over time, this creates greater trust.

And when trust grows, accountability becomes easier. Team members are more likely to be open about challenges, accept coaching, and take ownership of their goals.

Do not wait until you have created the perfect process.

Prepare three questions:

  1. What has been going well?
  2. What has been your biggest challenge?
  3. How can I support you before our next conversation?
