Who Scheduled—and Who Still Needs Help Moving Forward?

3rd party financing case agreement communication front desk training payment options unscheduled treatment Oct 15, 2026

Your team explained the treatment and reviewed payment options. But can you easily see what happened after the conversation?

A consistent review process helps the doctor and office manager identify patients needing follow-up and support the team in helping them move forward.

Document the Next Step

After presenting the Financial Agreement Form, record whether the patient scheduled.

If they did, document the appointment and agreed payment arrangement.

If they did not, record the concern, the agreed follow-up, and who is responsible.

A signed form confirms that the information was reviewed. It does not automatically mean the patient scheduled treatment.

Give Leadership Visibility

Place a copy of the completed form in the doctor’s review folder, with clear sections for scheduled patients and those needing follow-up.

For example, if thirty patients reviewed their options and ten left without scheduling, you now have ten conversations to learn from. This is an illustration—not a client result.

What questions remain? Were payment options clear? Is follow-up assigned?

Track Treatment Dollars Clearly

Distinguish between treatment presented, treatment agreed to, and treatment scheduled. A patient may agree to care but schedule only part of it.

Scheduled treatment and collected revenue are also different measures.

Use the tracker alongside your practice reports to understand both the numbers and the next actions.

Make Review a Weekly Habit

Take a few minutes to:

  • Recognize effective patient conversations.
  • Identify patients needing follow-up.
  • Confirm who owns each next step.
  • Address one obstacle affecting consistency.
