The Financial Options Conversation Starts Before Checkout

3rd party financing case agreement payment options Oct 13, 2026

“We don’t have time to fill out another form.”

When your team says this, ask a practical question: When are they receiving the treatment information?

If the patient is already at checkout, the administrator is trying to prepare, explain, and schedule all at once.

A better-prepared conversation starts earlier.

1. Review Tomorrow’s Patients Today

Look for previously recommended treatment that hasn’t been scheduled.

Prepare the financial information in advance when possible, then confirm that the recommendation and details are still current before presenting it.

Use the morning huddle to identify who will revisit the treatment with the patient.

2. Give the Administrator Time to Prepare

For newly recommended treatment, aim to communicate the details approximately ten minutes before the financial options conversation.

The information should include:

  • Recommended treatment.
  • Next visit details.
  • Estimated insurance reimbursement.
  • Total treatment fee.
  • Relevant patient concerns.

This may require an earlier doctor exam or a clearer handoff between the clinical and administrative teams.

3. Carry the Patient’s Concern Into the Handoff

In our first clip, we explored three common concerns: discomfort, time, and payment.

Share what you’ve learned about the patient. If affordability is their concern, the person presenting the form can be ready to explain the practice’s payment and financing options.

Everyone Has a Responsibility

The clinical team provides timely treatment information and helps patients understand their care.

Administrators prepare and present the form, record the outcome in the tracker, and place a copy in the doctor’s review folder.

Leadership reviews follow-through and addresses obstacles.

Try This at Your Next Huddle

Choose one upcoming patient with unscheduled treatment. Agree on who will review the recommendation, who will prepare the form, and when the information needs to be ready.

Where does your team’s handoff get delayed? Share in the comments below.

In our next Coaching Clip, we’ll look at how to see who scheduled—and who still needs help moving forward.
